Members

How do I cancel my membership?

To cancel your membership, please complete our Membership Cancellation Request Form.  Per our cancellation policy, all  cancellation requests must be submitted  at least 30 days prior to your next bill date.  If you are on a month-to-month recurring plan and cancel within the 30 day window your last payment will draw from your account on its scheduled date and you will have 30 days from that point to continue using our facility.  For example: Johnny’s next month of membership is set to auto-draft on 10 June.  Johnny sends an email on 28 May indicating his desire to cancel his membership.  Johnny’s last payment will draw on 10 June and he will have until 9 July to continue attending classes.  No payments will be drawn from his account after 10 June.  If you are on a 6 month or 12 month term contract plan then you will need to provide 30 days notice prior to your next bill date and will be charged an early cancellation fee equal to one month’s membership for that plan if you choose to cancel prior to the contract term.  All prepaid packages and punch cards are non-refundable.  

Do I have to register for class to attend?

All members are required to pre-enroll in classes to secure their spot in the class time they would like to attend.  All classes are capped at 25 members, with the exception of our Saturday morning classes which are capped at 30 members.  If you are unable to enroll prior to the cap then your name will be added to a waitlist.  If you are on the waitlist you will need to wait until a spot opens to attend the class.  The system will notify you directly if space becomes available.

Additionally if you enroll in the class and can no longer attend you are required to cancel your enrollment.  If you fail to cancel your enrollment prior to the start of class, a class will be deducted from your pass or punch card or you will be charged $10 cancellation fee for the class.

To enroll in classes you can go to our schedule page via the website or log in to your Pike13 account directly.  It is recommended that you save your Pike13 dashboard to your home screen on your phone for easier access.  If you are unsure how to enroll in classes, please ask.

Why is my Front Desk Member Account flagged?

Your member account may be flagged for a variety of reasons to include monthly payment failure or if you have utilized more sessions than your membership level allows (applies to punch card or session-based memberships).  Please contact us at info@crossfitkingstowne.com if a flag appears on your account to discuss the reason.

I have a prepaid package, when does my membership expire?

All prepaid packages are set to expire exactly 3, 6 or 12 months from the date of purchase, based on the terms of the package purchased.   Upon expiration, a new package at the same rate and term will auto-renew unless written notification of a change to membership or cancellation is requested prior to the package expiration date.  For example:  Johnny purchased a 3 month unlimited pre-paid package on 1 June.  His package is set to expire on 31 August. A new 3-month package will be automatically charged to his account for the same price effective 1 September through 30 November, unless Johnny provides written notification that he would like to cancel his membership 30 days prior to his plan expiration date or that he would like to move to a different membership package or plan.

Can I get a refund?

CrossFit Kingstowne does not issue refunds once a membership plan or package has been purchased.   CrossFit Kingstowne will not issue refunds if you do not use your membership, nor can you carry over sessions to the next month if you missed a class for any reason. No exceptions.

I have an injury, how do I plan a hold on my account?

To place a hold on your account for an injury, please provide a note from your physician stating all physical activity must be on hold and for the specified period of time.

I will be traveling; can I place a hold on my account?

We do not place holds for any short-term personal travel less than 30 days.

Can I put my membership on hold?

Clients may put their membership on freeze or hold, for a period no less than thirty (30) days (or one calendar month), and for a period lasting no more than ninety (90) days (three calendar months) each calendar year. Membership hold requests must be submitted via our Membership Hold Request Form prior to the first day of the requested hold and will not be issued retroactively. All payments drawn prior to the requested hold will not be refunded. Clients will not be billed for frozen months, and billing will resume automatically upon the end of the freeze period established.

All prepaid clients will have memberships extended by the number of frozen months. Holds longer than ninety (90) days may be issued for members of the military on temporary duty assignment with advanced notification. If a client chooses to cancel membership during the hold or freeze period, written notification must be issued within 30 days prior to the end of the hold period, otherwise clients will be charged a final month of membership upon hold release.

Do I have to sign into class?

All members are required to sign in to class prior to the start of class.  Members can sign in using the wall mount Front Desk Kiosk located in our lobby.   

There are three ways to sign in to class.  Members can enter their phone number or email address associated with their Client Profile and select the class time they would like to attend.  Additionally, members can request a QR code to scan in to their desired class time.  The QR code will be received via text message on your mobile device.

Can I change my membership type?

Absolutely!  We try to make our membership options as flexible as possible to meet our members needs, budget and/or schedule constraints.  Members are welcome to upgrade their membership at any time.  Additionally, if a member wishes to downgrade their membership for any reason they can do so at any time prior to their next scheduled billing date. The change in membership would take effect in the next month’s billing cycle.  Please note, all of our prepaid discounted packages are exempt and non-refundable. Once the package term has expired, however, members are welcome to upgrade or downgrade their membership to any of our available membership plans, passes or packages.

Are coaches available during Open Gym?

Yes, there will always be a minimum of one coach during open gym hours.  While open gym is not a formal class, the coach is available to supervise and ensure all movements are being conducted safely.  Please Note:  If any activity is deemed unsafe or at a level not suitable for a member, the coach on duty will suspend the activity.  We encourage our members to utilize the coach on schedule for any coaching assistance or to request an appropriate workout to complete.

I want to put in some extra work; can I come in and work on skills/strength during regular classes?

If you would like to complete some supplemental skill or strength work you are welcome to do so when floor space is available; but you must attend a regular class prior to or after completing any additional work.  

If you plan to complete supplemental work, please notify the coach on duty and let them know the class you plan to attend and the supplemental work you plan to complete.  For example, Johnny plans to attend the 5:30 p.m. Group class but wants to work on his butterfly pull-ups during the 4:30 p.m. class.  Johnny would go to the coach on duty at 4:30 p.m. and let them know he plans to attend the 5:30 p.m. class, but would like to work on his pull ups during the 4:30 p.m. class.  The coach on duty will let him know if this is ok.

Please Note:  The coach on duty can suspend a member’s supplemental work during a class if it is deemed disruptive, unsafe, or there is not enough equipment or space available for the scheduled class. Members must first request permission from the coach on duty prior to completing supplementary work, please do not assume you can just do your own thing because you come in regularly.  Members should also refrain from dropping loaded barbells during the education portion of the class. Safety is always our first priority.  Furthermore, all members attending a Group Class must participate in the full warm up, strength or skill work, WOD and core work, this includes individuals who may have completed supplemental work prior to the start of class.

Can I just come in and workout on my own or follow my own program?

Sorry, but we do not allow members to work out on their own outside of Open Gym hours.

If you need to warm up or cool down before/after class, or would like to complete some supplemental skill or strength work you are welcome to do so when floor space and equipment is available; but you must attend a regular group class prior to or after completing any additional work.

Am I ready for Warrior Program?

Our Warrior Program is considered an advanced class.  If you are wondering whether you are ready to start Warrior Program, please talk with a coach first.  A good guideline to gauge whether you might be ready is if you are able to complete most of our regular daily workouts at an Rx or Advanced level.

My credit card info has changed how can I update my information?

You can update your credit card information via your front desk member account.  Once you have accessed your member dashboard you can select the payment methods tab located on the right side of your dashboard under your profile picture.  You can enter or update your credit card information here.

Before you can attend classes, enroll in courses or seminars, or buy membership passes and plans for CrossFit Kingstowne, you will need to open a member account by creating your individual client profile and signing our client waiver.

To set up your front desk member account, you will need to access the welcome email sent from our Front Desk Member Software after you completed the waiver and created your client profile.  If you cannot locate the welcome email, please send us an email via info@crossfitkingstowne.com and we will resend you the welcome email.   Once you have the email, follow the link to begin setting up your individual client profile along with a unique username and password.  Once you have set up your member account you can edit any details in your client profile.

What if I am late to class; can I still participate?

We value our members and coaches time; therefore we ask all of our members to be on time for class.  Members should always try and arrive at least 10-15 minutes before class to conduct their own individual warm-up prior to the Group Warm-Up at the start of the class. However we understand that sometimes tardiness cannot be avoided due to traffic or other extenuating circumstances.

If a member is late to class, they will need to check in with the coach on duty to determine if they will still be able to attend class.  We typically will extend a 5-10 minute grace period as long as the class is still in the middle of the group warm up.  If the class has commenced the skill or strength portion of the class then the member will be asked to attend the next scheduled class of the day.   If the member is allowed to join the class, then they will be given an alternate warm-up to be completed immediately so as not to further delay the class.   The individual may also be asked to sit out of the skill or strength portion if they are late.

Please note:  This policy is meant to ensure that classes run on schedule and in a safe manner.  We value your safety as well as the classes safety and we ask that all of our members respect this policy.

Additionally, if a member is consistently late to class and it appears they are abusing the late policy, the member will be asked to attend the next available class of the day.
